Vasa:

== Who can record? ==

The default setting for AU MS Teams allows any participants to start recording. However, we generally advise that meeting hosts not allow other participants to record a meeting.

To start recording, go to the meeting controls and select '''More options ... button > Start recording'''.

When a meeting host activates a recording, MS Teams announces that "Recording has started." You cannot make multiple recordings of the same meeting at the same time. If one person starts recording a meeting, that recording will be stored on the cloud and available to all meeting participants.

== Should I record my meeting? ==

Reasons to record your class meeting include:

* You intend to post a digital recording of the meeting online for a public or select audience to watch after the fact
* You expect that you will need to repurpose the meeting (for example, by making a live training session to one audience available to other audiences in a recorded format).
* You expect that students will not be able to attend the meeting, and it would be insufficient simply to provide them with a slide deck, notes, or briefing of the meeting after the fact.
* You find during the meeting that one or more students are having connectivity problems.

If none of these considerations applies to your meeting, we advise you as a general matter that you do not record your session.

== Where do the recordings go, and who can see them? ==

When a meeting host activates recording, the recording will be stored on the cloud and available to all meeting participants (via Microsoft Stream https://web.microsoftstream.com/). If the recording was done during Chat meeting (e.g., via AU Spark Join button), the recording resides in the chat. Only those who participated in the chat can see the recording.

If the recording was done in a Team (e.g., a class Team created by AU or a class Team that you created), all the team members can see the recording.

If you own the meeting recording, you can also find it on Microsoft Stream. Just select '''My Content > Videos'''. Note that guests and external people who attend the meeting won't be able to view the recording unless the recorder shares it with them.

== Share a link to a meeting recording with others. ==

You could share the recording with people outside of your organization or who didn't attend the meeting with a few additional steps.

Step 1. Set video permissions in Stream

* As the meeting recording owner, go to the recording in the Teams chat history and select '''More options ... button > Open in Microsoft Stream'''.
* Change the permissions for the video to allow groups or individuals to view it in Stream.
** In the Microsoft Stream portal, under the video, select '''More options ... button > Edit'''.
** In the Permissions section, add people or Microsoft 365 groups who need viewer or owner access to the video.

Step 2. Get a link to share

* In Teams, go to the meeting recording in the chat history and select '''More options ... button > Get link'''.
* In the '''Get Stream link''' dialog box, select '''Copy'''.
* Paste the link into an email or Teams message and select '''Send''' button.

== Should I place Copyright Warning Notices ==

By default, the recordings under university services are copyrighted by AU. If you want to put a notice (recommended to put on the lobby slide or first slide of your recordings), you can use the following statement:

<blockquote><q>These materials may be used only for Educational Purposes. You may not copy or distribute any part of this material to any other person. Where the material is provided to you in electronic format you may download or print from it for your own use. You may not download or make a further copy for any other purpose. Failure to comply with the terms of this warning may expose you to legal action for copyright infringement and/or disciplinary action by the University.</q></blockquote>

== Who can record? ==

== Should I record my meeting? ==

Failure to comply with the terms of this warning may expose you to legal action for copyright infringement and/or disciplinary action by the University.</q></blockquote>

As we move closer toward paperless workplace (and campus), we see how the transition from analog to digital can sometimes be tricky.

MIS department has piloted online class evaluation since 2/2018 semester and we enjoy the benefit of getting data quickly and effortlessly since. However, we wonder how effective it was. One of the important factors we care about in an online survey is the response rate. So we dig into the historical data to compare with our 2/2018 results.

Here's what we found.
[[File:response-rate-results.png|640px|center|response-rate-results]]

We then asked instructors who received a high response rate during the pilot and distilled these tips as '''best practices''' in conducting an online class evaluation.

# Evaluation is better when conduct after class
# Direct students to the questionnaire via URL or QR
# Ask them to leave the “confirmation message” screen when they complete the evaluation, so you can check outside the classroom
# Proceed to wait for the students outside of the classroom
# Check the screen of their mobile phone to see the "confirmation message"

'''Other tips''': Pick the day most students show up, or allow those who were absent during the first round to complete the evaluation again. Remember, you only need to show them the QR code :)
